Welcome to the Comindware Tracker How To video series. This series consists of several how-to videos answering the most important questions about Comindware Tracker. You can either watch all of the videos in order or select the one you want to see right now. In this first video, you'll learn how to work with tasks. Tasks are pieces of work that need to get done. In Comindware Tracker, there are three types of tasks, personal tasks you create for yourself, team tasks that you assign to someone, and tasks automatically generated by a workflow as part of a whole process. Comindware lets you include any type of content in your tasks, Word documents, spreadsheets, videos, sound clips, slide decks, photographs, everything to do with your tasks. And versioning is built right in. If you'd like, you can also work with Comindware enriched tasks directly within the Microsoft Outlook Task Management interface. We'll show you how to do that in a separate video. Here's how you create a task in Comindware. Press New in the ribbon and choose the type, either a personal task or a team task for one of your projects. Name it and put in a description, due date, urgency, and whatever else and press Save. Here's how you attach content. If the task is for a member of your team, you can assign it using a drop-down menu of team members. The assignee will receive the task as well as email notification about task assignment. And it will be fully trackable from your laptop or mobile device. No more chasing anyone down the hallway or sending yet another email to find out what's going on. Comindware is ultra-flexible, so there's no limit to the number of tasks or subtasks that you create. Only Comindware combines this robust task management with the versioning, commenting, and real-time visibility that you need. You can discuss tasks, log time spent on them, follow them, and see histories of changes to them. Often, you'll find that your tasks are actually part of a process, a sequence of tasks that can be automated. [MUSIC PLAYING] In the first how-to video, you learned how to manage tasks in Comindware Tracker. In this one, you'll learn how to work with workflows. Suppose you have tasks that are actually part of a whole process rather than just individual tasks. For example, it could be employee onboarding, or customer case resolution, or some other kind of process. How would you push tasks through a sequence and avoid manual creation of next step tasks? In Comindware Tracker, you do this by creating a work item. Work items let you store everything about a project together, complete with customizable forms that gather exactly the information you need. Examples of work items are change requests, help desk tickets, claims, product bugs, employee records, and meeting trackers. Essentially, a workflow is a sequence of steps, such as with a review or approval. Comindware Tracker, powered by ConnectStep technology, will automatically generate the tasks you need done in the right order at the right time by the right person. So you don't need to create next step tasks manually and decide each time who should get them. Here you see a task within a workflow, and also within the assignee's inbox once it has been automatically generated. Therefore, unlike static diagrams and other graphical tools, a Comindware Tracker workflow is a powerful engine moving things along. Now let's see how a new process is started. To do that, click New and select what process you'd like to start. Enter the necessary information and hit Save. Once the process is started, the right people receive the right tasks with all of the relevant information. They can simply focus on the work at hand. And if they need more information, they can go to the work item itself to get the details. Suppose a team member has finished the task generated by an item being started. Perfect. The work can be saved right in the item, and then the teammate chooses the next step. The team member can look at what's already happened by clicking on the History tab. And this will give all of the details that they might need. They can also use the Workflow Viewer to get a visual understanding of where they are in the process. By the way, you can customize tabs all you like. But we'll talk about that another time. As with individual tasks in Comindware, you have all the collaborative capabilities you need. Suppose it's a Saturday afternoon and you're out of town. You need to get a process started so everyone can work on it while you're away, but you're at the beach with only your smartphone. No problem. Get into your email system and send an email to a designated address. Then put your phone back in your bag and go play in the waves knowing that the workflow process will be automatically started. Ready to create your own workflow?
